Terms & Conditions

Most businesses have terms and conditions. By paying for your first session with me, you are agreeing to the following terms and conditions:

Tutoring: General

Fees shall be calculated at a rate according to the price list per session of tutoring. Sessions are 1 hour long and consist of tutoring, reviewing progress and setting homework assignments. The decision on how best to use instructional time will be made by the tutor at Bex Harper Tutoring & Coaching (henceforth BHTC) based on the student’s or students’ individual needs and abilities. The tutor may, on occasion, recommend that parents purchase materials but parents may elect to not purchase such materials.

 

Coaching: General

When you begin coaching, you agree to the following statements:

I am committed to taking positive action to make improvements in my life and to meet the goals I identify as necessary to do this. I am committed to being as open and honest as necessary in order to work with my coach towards achieving my goals. As the client, I understand that I am fully responsible for the decisions and choices reached during the coaching sessions.

I understand that ‘coaching’ is a relationship I have with my coach that is designed to facilitate the development of personal or professional goals and develop a plan/strategy for achieving those goals and that coaching is a comprehensive process, which may involve all areas of my life including work, family, health, relationships, education and recreation.

I acknowledge that deciding how to handle any issues is my responsibility. I understand that coaching is not a substitute for counselling, mental health care or substance abuse treatment. I promise to inform my coach if I am currently in any kind of therapy and that any medical or therapeutic practitioners involved in my care have been advised of my intention to work with a coach.

I agree to commit to the programme of coaching sessions to facilitate the required change.

 

Payment of sessions: Tutoring

Lessons are to be paid monthly via direct bank transfer, at the start of each month and per the instructions on the invoice issued via email.  BHTC does not accept cash payments, cheques or credit card payments. Fees may be adjusted from time to time and shall become effective after having given the client 30 days written notice.

 

Payment of sessions: Coaching

Sessions or coaching packages are to be paid for in advance via direct bank transfer, at the start of each package and per the instructions on the invoice issued via email.  BHTC does not accept cash payments, cheques or credit card payments. Fees may be adjusted from time to time and shall become effective after having given the client 30 days written notice.

 

Cancellation of a session / package by the client

Please provide notice either via email or text if you wish to cancel a session, and wherever possible, please provide notice of at least 24 hours. All session are non-refundable and non-transferrable.

For tutoring, wherever possible, an alternative arrangement may be made to attend an alternative session during term-term, if a mutually convenient time slot is available. Students who cancel frequently may face having their contract terminated by their tutor.

If you wish to cancel a coaching package or any remaining sessions, then you may do so at any time up 24 hours before the following session. No refunds will be made for any remaining sessions, as the package is non-transferable and is non-refundable.

 

Cancellation of a session by BHTC

If BHTC needs to cancel any of your sessions, you will be notified as soon as pragmatically possible by either text, telephone or via email.

In cases where payment has been made for such session, BHTC will either reschedule at a time agreeable to both the client and BHTC or offer credit against the next invoice.

 

Lateness

No fees nor timings of lessons shall be adjusted for time lost because of late arrival by the client.

For tutoring, parents collecting the student at the end of a session hall arrive in a timely fashion, in order to prevent the tutor from being late to their next appointment.

If the tutor/coach is late to a lesson, they will either make up the time on that particular day at the end of the session or arrange at a time that is mutually agreeable.

 

Session dates and school holidays

Tutoring shall commence on an agreed date and will take place thereafter at the same time and same day each week / fortnight.

Coaching shall commence on an agreed date and will take place thereafter at a mutually agreed time.

Sessions do not take place in school holidays, unless specifically arranged, and it is at the discretion of BHTC. Please ask BHTC for any school holiday availability at the start of that month so that they can book you in at a suitable time, if they are offering sessions during that particular school holiday.

For tutoring, if you are going away on holiday, please notify your tutor at least two months in advance, so that the tutor can bare this in mind when they create your invoice for the following half-term.

 

Termination of tutoring and coaching services

Tutoring services may be terminated at any given time by either party by providing 30 days prior written notice. Clients are thus still responsible for tuition fees for 30 days after they serve a termination notice. This notice can be served either via email or text message.

Termination of a coaching package will result in any remaining sessions being lost, as packages are non-refundable and non-transferrable after the first session of the package takes place.

 

Homework Policy

The tutor will set appropriate homework tasks, to be completed in a timely fashion by the student. The tutor will mark and return all homework tasks as soon as is pragmatically possible.

If a parent does not wish for their child to be set homework, they must notify BHTC by either text, telephone or via email. In such cases, parents must understand that their child is unlikely to progress at the same rate that they would have done with completion of regular homework.

 

Online Sessions

Please download Skype / Zoom (and add me as a a contact before the session on Skype) before the session if using these platforms for online sessions. If you are unsure how to use these platforms, please look at the tech support on the platform’s website to familiarise yourself with the platform and do a test run with a friend before your first session with me.

Please be logged into Skype, Zoom or the online classroom a few minutes before the start, ready to start each session at the booked time, otherwise this may result in a shorter session.
